Challenges Faced

Before our involvement, Easy Factory faced significant issues with product cost estimation:

  • Manual Cost Estimation in Excel: Product cost sheets were created manually, relying on a complex, experience-driven logic developed over time by the production team.
  • No Version Control or Validation: Changes to cost sheets lacked traceability and approval, making collaboration risky.
  • Disconnected from ERP: The SAP system used by the company did not handle the pre-production estimation phase, leading to fragmented workflows.

Odoo Implementation

To support their unique costing process while coexisting with SAP, we implemented a standalone Odoo Community system focused entirely on cost estimation.

Key Features:

  • Custom Tables and Views: We modeled the entire product and material database in Odoo, matching the structure used in their Excel files.
  • Costing Logic Engine: All empirical formulas and production hypotheses from the Excel calculators were replicated inside Odoo, including material usage, labor time, tooling factors, and wastage coefficients.
  • Versioning and Approvals: Each cost sheet supports multiple versions with a built-in workflow from draft to managerial approval.
  • Excel Export with Images: Cost sheets can be exported as Excel files, embedding product pictures to facilitate external communication with clients or partners.
  • No Disruption to SAP: The solution was implemented as a standalone system, avoiding interference with existing ERP processes.
